1. Problem

Recurring administration is one of the biggest time-consuming areas for SMEs - and at the same time one of the most automatable.

Recording incoming invoices, sending payment reminders, preparing monthly financial reports, tracking deadlines: these are all processes that run according to precisely definable rules, where human intervention is both a bottleneck and a source of error.

80% of administrative errors stem from manual data entry. This is not carelessness - it is the inevitable consequence of a poorly designed system.

The goal is not for AI to "decide" instead of people. The goal is that routine tasks, data transfers, reconciliations, deadlines and reports should not depend on manual activity. Humans intervene where real decision-making, checking or professional judgement is required.

2. What do we automate?

Invoice processing: automatic recognition of incoming invoices using OCR and AI, categorization and recording in the accounting system - without human intervention in standardized, low-risk and predefined cases.

3. How does it work?

The system’s greatest advantage is not only that it speeds up individual processes - but that recurring tasks run automatically without human intervention, and human intervention is only needed for exceptions or cases requiring a real decision.

For example, a well-designed workflow recognizes an incoming invoice, extracts the relevant data, checks the supplier, categorizes the cost, prepares the posting, and asks for human approval only if a discrepancy, missing data or a case outside the rules occurs.

This way, administration no longer functions as daily firefighting, but as a controlled background process.

The goal is not to replace existing systems, but to automate the manual work between them.

4. Compliance considerations

EU AI Act compliance: Automated decision-support systems may, in certain cases, fall under risk classification under the EU AI Act. The systems we build include human approval points ("person in the loop") wherever this is required from a regulatory perspective.

It is especially important that the system does not operate as a black box. Every relevant step must be traceable: what happened, on what data basis it happened, when it happened, and where human control was required.
