7. AI Officer service

7. AI Officer as a Monthly Subscription Service

Introducing AI is no longer something exceptional.

Operating AI responsibly, in a documented way, with awareness of the EU AI Act and under business control - this will be the next competitive advantage.

The question is not whether your company will use AI.

It probably already does - you may simply not know about it yet.

The real questions are:

  • Who oversees it?
  • Who documents it?
  • Who assumes internal responsibility for it?
  • And what will you answer when a customer, partner, or audit environment first asks about EU AI Act compliance?

This is why we created the AI Officer service: to take this responsibility off your shoulders.

TLDR

Today, many businesses still treat AI as a quick competitive advantage. Tomorrow, however, it will become a serious matter of compliance, documentation, and responsibility.

Because of the EU AI Act, it will not be enough to say that "we use AI" or "we build AI workflows." Companies will need to know what AI system operates within the business, what it is used for, what data it affects, who supervises it, what risks it carries, and how it is documented.

The AI Officer service provides exactly this answer: as an external, monthly subscription-based AI responsible role, we help your company avoid scrambling to comply with the rules of the AI era after the fact and instead build its AI operations in a timely, structured, and commercially useful way.

If you build AI workflows, your customers will soon ask:

"Is this properly handled from an EU AI Act perspective?"

And if your company uses AI workflows, sooner or later you will need to be able to answer:

"Who is responsible for this within the company?"

In More Detail

AI has entered business operations faster than most companies could have prepared for it.

Today, AI writes text, responds to customers, processes documents, prepares proposals, analyzes data, supports sales, assists HR, automates administration, and appears in an increasing number of decision-support processes.

This is an enormous opportunity. But it is also a new responsibility.

The EU AI Act makes it clear that the use of AI systems cannot remain invisible internal experimentation. Companies increasingly need to know which AI solutions they use, for what purpose, at what risk level, under what human supervision, with what documentation, and in what data-processing environment.

This is especially critical for two target groups.

The first group consists of companies that build AI workflows for other businesses. They are no longer merely technology implementers, but increasingly also trusted and compliance partners.

A customer will not only ask:

"Does the automation work?"

But also whether:

  • it is secure,
  • it is documented,
  • it takes the expectations of the EU AI Act into account,
  • there is human oversight,
  • data-protection and operational risks are being managed,
  • what happens in the event of an error,
  • who assumes responsibility for the operation.

The second group consists of companies that use AI workflows in their own operations.

In these companies, AI often appears quickly, at multiple points, and through several different tools: in marketing, customer service, sales, finance, HR, or internal administration.

The problem is that in many companies these solutions do not function as a unified system, but separately, with different employees and in different tools. In the short term, this may seem convenient. In the long term, however, it can create serious operational, data-management, and EU AI Act-related compliance risks.

The purpose of the monthly AI Officer service is to turn this risk into a manageable, transparent, and commercially useful system.

It works like an external ISO 9001 consultant or quality management partner: but we do not provide one-off advice and then disappear. Instead, we continuously support the AI operations within your company and compliance with the EU AI Act - including the introduction and application of a system compliant with the ISO 42001:2023 standard for Artificial Intelligence Management Systems.

We help develop, improve, document, and keep under control the AI-based processes that are playing an increasingly important role in business operations.

The AI Officer helps your company use AI faster and more confidently, while questions relating to responsibility, documentation, data management, and the EU AI Act do not remain unanswered.

What does this mean in practice?

The AI Officer helps map where and for what purposes your company uses AI.

This is the first critical step, because many businesses today already use artificial intelligence without having a central overview of it. One employee uses ChatGPT for drafting text, another creates a report with an AI tool, a third generates automated email responses, and a fourth connects an AI workflow to internal systems.

Each of these may be useful on its own.

Together, however, without control, they can represent a risk.

The AI Officer's task is to turn these into a transparent AI register, an operating framework, and an internal control system.

The AI Officer helps determine which AI uses are simple, lower-risk support processes and which ones affect more sensitive areas. This is particularly important in HR, customer communication, financial decision preparation, healthcare, legal, education, or other trust-sensitive domains.

Because of the risk-based approach of the EU AI Act, it matters what purpose an AI system serves and in what environment it operates. There are cases where the ISO 31000 risk assessment standard must also be applied.

The AI Officer also supports, or can fully carry out, the development of internal AI policies and documentation.

Sooner or later, a company will have to answer questions from customers or supervisory bodies such as:

  • which AI tools employees may use,
  • which data must not be uploaded into an AI system,
  • when human review is required,
  • who may approve a new AI workflow,
  • how AI-based processes are documented,
  • what we tell customers about AI use,
  • how we handle the compliance expectations arising from the EU AI Act.

These questions should not be asked for the first time only when there is already a problem.

Not when a customer complaint arrives.

Not when a contractual dispute arises.

And not when a larger partner first asks for the compliance documentation - because it will make it easier for that partner to substantiate its own system.

Why is this urgent now?

Because the AI market is currently in a phase where many are building quickly, but few are building in a regulated way.

For a short time, this may seem like a competitive advantage.

In the longer term, however, the companies in a position of trust will be those that can show not only that they "have an AI solution," but also that:

  • we know, in documented form, where we use AI,
  • we understand the relevant requirements of the EU AI Act,
  • we have an internal AI usage framework,
  • we have human oversight,
  • we manage data-protection and operational risks,
  • we can answer customer, partner, or audit questions,
  • we are not trying to assemble compliance after the fact.

The EU AI Act is not only a problem for large enterprises. The EU AI Act applies to every (!!) company that operates in the EU or supplies into the EU.

Smaller companies - even one-person businesses - are also affected if they develop, sell, integrate, or use AI systems in their own business processes. This is especially true for businesses that build AI workflows for other companies, because in their case the AI solution becomes a service product.

Those who recognize this in time can treat the EU AI Act not only as a compliance obligation, but also as a sales advantage.

For example, an AI workflow-building company can appear far more serious in the market if it offers not only automation, but also an organized AI governance mindset, documented processes, risk-oriented thinking, and EU AI Act-aware operations. This is a USP in the market today!

A company using AI, in turn, can scale with much greater peace of mind if not every AI tool and workflow lives its own separate life, but there is an external AI Officer who helps oversee, organize, and keep development under control.

Who is the AI Officer service recommended for?

The AI Officer service is especially recommended for companies that:

  • build AI workflows,
  • sell AI automation,
  • offer AI-based SaaS or digital services,
  • introduce AI solutions for their customers,
  • or already use AI workflows in their own operations.

For companies that build AI workflows, the AI Officer is not only internal operational support, but also a tool for strengthening market trust.

If the customer sees that the service provider thinks consciously not only technically, but also from an EU AI Act perspective, that can be a serious differentiating advantage.

For companies that use AI workflows, the AI Officer helps ensure that AI use is not siloed, uncontrolled, and dependent on individuals, but instead becomes a transparent, documented, developable system that can also be managed at leadership level.

Why should this be considered as a monthly subscription service?

AI compliance and AI operations are not a one-time project.

AI tools change. The application of the EU AI Act is gradually becoming stricter. Company workflows evolve. New automations appear. New risks arise. Customers, partners, and suppliers will ask more and more questions.

For this reason, the role of the AI Officer is not a one-off consulting day, but continuous external support.

In a monthly subscription-based collaboration, we regularly review AI use, update the necessary documentation, support the introduction of new AI workflows, help develop internal rules, and support your company so it does not drift, but moves consciously through the AI era.

This follows the same logic as when a business brings in an external ISO 9001 consultant, data-protection expert, or occupational safety consultant.

Not because there is a problem every day.

But so that the system remains continuously in order, and so that you do not have to scramble only when it is already too late.
